Acts as the secretary and personnel manager to the District Superintendent and Board of Trustees

Salary:
$44,215/year per the Confidential Salary Schedule

Benefits:
Employee will be a member of the Public Employees' Retirement System (PERS) to which both the employee and AVUSD contribute.  Employee will be eligible for Health, Dental and Vision insurance for employee and their family.

Work Hours/Year:
8 hours per day, 5 days per week, 12 months per year, 261 days per year, pending successful fingerprint clearance and submission of a recent tuberculosis test as required by the California Education Code.

POSITION TITLE: Confidential Administrative Assistant

DESIRED QUALIFICATIONS:

Education: College-level course work, including, or supplemented by training in secretarial practice, personnel administration, accounting and bookkeeping. Preference given for experience in an educational setting.

Experience: At least three years of progressively responsible office experience, preferably highly responsible business management/administrative experience.

MINIMUM QUALIFICATIONS:

Experience: At least two years of progressively responsible office experience, preferably highly responsible business management/administrative experience.

Skills: Sufficient command of English usage, spelling, grammar, and punctuation to prepare professional correspondence and standardized reports;

          Ability to maintain confidentiality;

          Thorough knowledge of data entry methods, procedures and equipment including complex database programs, relational database programs,              word processing and related applications; 

          Thorough knowledge of computerized spreadsheet programs; 

          Advanced computer literacy that includes proficiency with Microsoft Office, the internet, Google Apps and various databases;

          Learn and effectively use specialized computer programs utilized in the areas of assignment, including but not limited to, Escape, Aeries,                      CalPads, SEIS.

          Applicants should be familiar with the operation of all standard business office equipment (Fax, copier, calculator, etc.);

          Must have strong organizational and time management skills in order to meet deadlines;

          Strong interpersonal skills necessary to work effectively with the general public, all staff members, and the management team;

          Ability to work both independently and as a team member; 

          Must be conscientiousness, accountable, & dependable in all assignments;

 

JOB SUMMARY:

Acts as Administrative Assistant for the District Office with support to the Confidential Assistants, the Business Manager and the Superintendent.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

  1. Support the accounting personnel in bookkeeping/accounting duties and other related duties. Receipts cash received;
  2. Maintain district-wide student databases with assessment information developing charts and reports as needed;
  3. Organizes and controls data for use in reports regarding categorical requirements, demographic research, fiscal analysis, and forecasting;
  4. In Aeries maintains a wide range of data related to program and student files, demographics, attendance, and registration records or other according to department specialization;
  5. Retrieves data from files and/or records for the purpose of generating a variety of required reports and developing statistical information;
  6. Generates and maintains reports required by governmental agencies and other funders and service provider;
  7. Works as the District Testing Coordinator and assists the Site Testing Coordinators in ordering tests, and Pre-ID files for State tests and maintenance of testing databases;
  8. Prepares reports in connection with standardized tests, academic outcomes, attendance, and various other testing databases;
  9. CALPADS reporting;
  10. Assists with water system reporting: annual water reports, certification of compliance, bacteriological sample plan;
  11. Processes requisition and purchase orders and monitoring the entire purchase ordering process for errors, shortages, delays, backorders, and communicates with staff on all such matters;
  12. Records After-School attendance and reports to ASES and ASSIST grants. Reports summer school attendance at both sites;
  13. Functions as District Office receptionist; receives and routes telephone calls;
  14. Performs other duties as assigned
