School Office Assistant

Performs regular office duties, including but not limited to reception, maintenance of document filing and retrieval systems, private student records, and basic record keeping. Support to office site administrator.

Salary
$14.45 -$15.55 an hour based on experience, per Column F on the Classified Salary Schedule

Benefits
Employee will be a member of the Public Employees' Retirement System (PERS) to which both the employee and AVUSD contribute, and will be a member of the local Classified State Employees' Association. Employee will be eligible for Health, Dental and Vision insurance for employee and their family at a shared cost.

Work Hours/Year
8 hours per day, 5 days per week, 11 months per year pending successful fingerprint clearance and submission of a recent tuberculosis test as required by the California Education Code.

School Office Assistant

 Definition:

Performs regular office duties, including but not limited to reception, maintenance of document filing and retrieval systems, private student records, and basic record keeping. Support to office site administrator.

 Examples of duties

  • Receives walk-in guests and telephone inquiries from a variety of individuals including parents, students, teachers, and administrators. Initiates and receives telephone calls, provides information and routes calls as necessary. Responds to requests for information of a specialized or confidential nature requiring the use of discretion and judgment in explaining regulations and procedures.
  • Provides information to visitors and/or other interested parties
  • Establishes and maintains filing system on a variety of subject matters.
  • Accesses information from student database. May maintain specialized databases relevant to area of assignment.
  • Coordinates special events, administering first aid, distributing of paperwork to teachers, staff, and new students/families.
  • Prepares and types letters, memorandums, forms, reports, bulletins, calendars, and other documents with minimum direction.
  • Requests purchase orders from business services and places orders for site.
  • Performs other duties as assigned that support the overall objective of the position.
  • Facilitates, under direction of supervisor, communication at school and with parents using the parent link or current calls system.

 Knowledge and Abilities:

Knowledge of:

  • Modern office practices, procedures, and equipment
  • Record-keeping techniques
  • Correct English usage, grammar, spelling, punctuation, and vocabulary
  • Operation of computer and applicable software programs
  • Applicable sections of the State Education Code and other applicable laws
  • Interpersonal skills using tact, patience, and courtesy
  • Telephone techniques and etiquette

Ability to:

  • Type at 45 words per minute
  • Establish and maintain effective working relationships with others
  • Operate a variety of office machines including a computer and a copier
  • Meet schedules and time lines
  • Maintain a variety of records and files
  • Communicate effectively with students, staff, parents, and the general public
  • Prepare professional, aesthetic correspondence using proper grammar, spelling, and punctuation.
  • Read, interpret and follow rules, regulations, policies, and procedures
  • Perform clerical duties such as filing and maintaining records with speed and accuracy
  • Work effectively with constant interruptions
  • Ability to problem solve in a fast paced environment
  • Understand and follow oral and written instructions

Requires the ability to perform all of the duties of the position efficiently and in an open environment with interruptions and distractions. Must be able to perform clerical and secretarial work with speed and accuracy. Must be able to learn, interpret, explain, and apply knowledge of District, site and department organization, operations, programs, functions and special department terminology when performing assignments. Requires the ability to plan, organize and prioritize work in order to meet schedules and timelines. Requires the ability to work cooperatively with staff, current students, external organizations, and the public using patience and courtesy. Requires the ability to maintain confidentiality of private and sensitive information.

Education and Experience:

Any combination of graduation from high school and two years general clerical experience preferably in an educational setting.

Comply will all applicable Federal and State mandates, Board Policies and Legal requirement of the District.

TB testing and fingerprinting are required
